Privacy Policy Effective Date: 7 August 2026 Last Updated: 7 August 2026 INTELLO Solutions L.L.C – O.P.C (“INTELLO,” “we,” “our,” or “us”) respects your privacy and is committed to protecting personal information. This Privacy Policy explains how information is accessed, collected, used, processed, stored, shared, and protected when you use INTELLO CHAT, including our web platform and mobile applications. INTELLO CHAT is a cloud-based business messaging, customer communication, team collaboration, and automation platform that integrates with services including Meta’s official WhatsApp Cloud API. By accessing or using INTELLO CHAT, you acknowledge the practices described in this Privacy Policy. 1. Scope and Our Role This Privacy Policy applies to: Businesses and organizations using INTELLO CHAT (“Clients”); Authorized employees, agents, administrators, and other workspace users; Users of the INTELLO CHAT mobile applications; Visitors to INTELLO CHAT websites and related services. Depending on the circumstances, INTELLO may act as: Data Controller for information relating to INTELLO accounts, platform administration, security, billing, support, website use, and direct relationships with our Clients. Data Processor / Service Provider for customer communications and other information processed by INTELLO CHAT on behalf of a Client. Clients generally remain responsible for determining the purposes and lawful basis for processing their customers' personal information and communications through INTELLO CHAT. 2. Information We May Collect and Process A. Account and Profile Information Depending on your account and role, we may process: Name; Business or organization name; Job role and permissions; Email address; Phone number; Profile photograph or avatar; Login and authentication information; Workspace and account preferences; Subscription and billing-related information. Passwords and authentication credentials are handled using appropriate security mechanisms and are not intended to be stored in readable form. B. Customer and Communication Data When INTELLO CHAT is used to communicate with customers or team members, we may process information including: Customer/contact names; Customer codes or identifiers; Phone numbers; Customer addresses where provided by the Client; Message content; WhatsApp conversations; Live Chat conversations; Team Chat messages; Message templates and quick replies; Replies, reactions, mentions, labels, assignments, and conversation status; Images; Videos; Voice/audio messages; Documents and PDF files; Contact cards; Location information voluntarily shared through messaging features; Delivery, order, payment, or other business information included in communications; Message timestamps, delivery status, and related metadata. Where WhatsApp functionality is used, message transmission and related functionality may also be processed through Meta's WhatsApp infrastructure. INTELLO does not use Client customer-message content for INTELLO's own advertising or unrelated marketing purposes. 3. Mobile Application Permissions and Device Features The INTELLO CHAT mobile application may request access to certain device features when required for a feature selected by the user. These may include: Camera and Photos/Media Used when you choose to: Take or upload a profile or room image; Send an image or video; Attach media to a conversation. Access is requested only where required by the relevant feature and subject to operating-system permissions. Files and Documents Used when you choose to attach or access documents, PDFs, or other supported files. Microphone Used when you choose to record or send a voice/audio message. The microphone is not intended to record continuously in the background. Location Location may be accessed when you explicitly choose a feature requiring location, such as sharing a location in a conversation. Location is not intended to be continuously tracked for advertising purposes. Contacts Where supported, contact information may be accessed when you explicitly choose to share a contact. INTELLO CHAT should use platform-provided contact-selection mechanisms where appropriate and does not require unrestricted access to an entire address book unless a specific supported feature genuinely requires such access. Notifications The application may request notification permission so that you can receive alerts about: New customer messages; Team Chat activity; Mentions; Assignments; Support requests; Operational notifications; Other authorized workspace activity. Users may control notification permissions through the application and/or device settings. 4. Push Notifications and Firebase INTELLO CHAT may use Firebase Cloud Messaging or similar notification infrastructure to deliver mobile push notifications. For this purpose, we may process: Push notification tokens; Application instance information; Device/platform information necessary for notification delivery; Notification preferences. Push tokens are used for application notification functionality and are not intended for advertising profiling. 5. Biometric Authentication Where supported, INTELLO CHAT may allow users to enable biometric authentication, such as fingerprint or facial authentication, for convenient access. Biometric matching is performed by the operating system/device security framework. INTELLO CHAT does not receive or store your raw fingerprint, facial scan, or biometric template. The application may store only information necessary to determine whether biometric login has been enabled and to securely restore an authorized session in accordance with platform security capabilities. 6. Technical and Usage Information We may process technical information necessary to operate, secure, diagnose, and improve the service, including: IP address; Device type; Operating system; Application version and build number; Browser type; Language and timezone settings; Login and session information; Security and authentication events; Error and diagnostic information; Feature usage and operational logs; Notification registration status. We use this information for service operation, troubleshooting, security, performance, and product improvement. 7. How We Use Information We may process information to: Provide and maintain INTELLO CHAT; Authenticate users and manage sessions; Operate customer and team messaging; Deliver WhatsApp communications through supported integrations; Display and synchronize conversations across authorized devices; Manage templates, flow messages, quick replies, and automation; Support file and media sharing; Manage customer and conversation assignments; Provide notifications; Manage workspace users and permissions; Enable optional biometric login; Provide dashboards and operational reporting; Manage subscriptions and billing; Provide technical and customer support; Protect accounts and prevent unauthorized use; Diagnose technical problems; Improve reliability and functionality; Comply with applicable legal obligations. We do not sell personal information. 8. Third-Party Services and Data Sharing Information may be processed or shared with service providers where necessary to provide INTELLO CHAT. These may include: Meta Platforms, Inc. Where WhatsApp functionality is enabled, information necessary for WhatsApp Business messaging is transmitted through Meta's WhatsApp Cloud API and related infrastructure. Cloud and Hosting Providers Infrastructure providers may process information necessary to host databases, applications, files, backups, and related services. Google / Firebase Google Firebase services may process device/application information required to provide push notifications and related mobile functionality. Payment Providers Authorized payment providers may process payment and billing information where payment functionality is used. INTELLO does not intend to store complete payment-card credentials when transactions are processed through an authorized external payment provider. Analytics and Technical Service Providers Where enabled, technical service providers may process limited information necessary for diagnostics, security, analytics, or service performance. We require service providers to process information only for authorized purposes and subject to applicable contractual and security requirements. 9. Payments and Financial Information INTELLO CHAT may display payment-related information or facilitate access to payment services as part of a Client's customer communication workflow. Payment transactions may be processed by third-party payment providers. INTELLO CHAT is not intended to independently store complete payment-card numbers, CVV codes, or equivalent sensitive payment credentials when payment is processed through an external payment provider. Conversation records may contain business information such as payment status, amount, currency, transaction reference, invoice, or receipt information where required for the Client's business workflow. 10. Data Retention We retain information only for as long as reasonably necessary for the purposes described in this Privacy Policy, including: Providing the service; Maintaining business and communication records; Security and fraud prevention; Backup and disaster recovery; Resolving disputes; Enforcing agreements; Complying with legal, accounting, tax, or regulatory requirements. Retention periods for customer communications may depend on Client configuration, contractual requirements, service configuration, and applicable third-party platform requirements. When information is no longer required, we may delete, anonymize, or securely dispose of it in accordance with applicable requirements. 11. Account and Data Deletion Users may request deletion of their INTELLO CHAT account and associated personal data, subject to applicable legal, security, contractual, and regulatory retention requirements. Where account deletion is available for the applicable account type, INTELLO provides a pathway within the application or account settings to initiate the deletion process. Users may also initiate an account/data deletion request through our publicly accessible account-deletion resource: INTELLO CHAT Account Deletion: https://chat.intello.ae/account-deletion Account deletion is different from temporary deactivation or disabling access. When an eligible account-deletion request is completed, personal data associated with that account will be deleted or anonymized except where specific information must be retained for legitimate purposes such as legal compliance, accounting, security, fraud prevention, dispute resolution, or enforcement of contractual obligations. Where INTELLO processes customer information on behalf of a Client, requests concerning that customer information may need to be handled by the Client as the relevant data controller. Google Play specifically requires apps offering account creation to provide accessible in-app and external account-deletion paths, and deletion must include associated account data rather than merely freezing the account. 12. Data Security We implement reasonable technical and organizational safeguards designed to protect information, including where appropriate: Encryption during transmission; Secure authentication; Role-based permissions; Vendor/workspace isolation; Access controls; Audit and security logging; Secure cloud infrastructure; Application and API security controls; Restricted administrative access; Backup and recovery procedures. No electronic service can guarantee absolute security, but we continually review and improve our safeguards. 13. International Data Transfers INTELLO CHAT is a cloud-based service and information may be processed in countries other than the country in which a user or Client is located. Where required by applicable law, we use appropriate contractual, organizational, or technical safeguards for international transfers. 14. Your Privacy Rights Depending on applicable law and our role in processing your information, you may have rights to: Request access to personal information; Correct inaccurate information; Request deletion; Request restriction of processing; Object to certain processing; Request portability where applicable; Withdraw consent where processing is based on consent. For information processed by INTELLO on behalf of a Client, we may direct your request to the relevant Client. Privacy requests may be submitted to: privacy@intello.ae 15. Cookies and Web Technologies INTELLO CHAT websites may use cookies and similar technologies for purposes including: Authentication; Session management; Security; Preferences; Performance; Analytics. Users may manage browser cookies through their browser settings, although disabling essential cookies may affect service functionality. 16. Children’s Privacy INTELLO CHAT is a business communications and collaboration platform intended for authorized business users. It is not directed to children or individuals under 18 years of age. We do not knowingly design the service for children. 17. Third-Party Links INTELLO CHAT may contain links to third-party websites, services, payment providers, map services, or other resources. Those third parties operate under their own terms and privacy practices, and INTELLO is not responsible for their independent privacy practices. 18. Changes to This Privacy Policy We may update this Privacy Policy to reflect changes in: INTELLO CHAT functionality; Applicable law; Third-party integrations; Security practices; Regulatory or platform requirements. When updated, the revised date will be displayed at the top of this Policy. Material changes may also be communicated through the application or other appropriate channels. 19. You may request permanent deletion or anonymization of your INTELLO CHAT account and associated personal data. Some minimized business, legal, accounting, security, fraud-prevention, dispute, contractual, regulatory, or audit records may be retained where required.
